Excel is the most capable of the “download a template” options because it can actually calculate totals for you with formulas. That makes it a reasonable choice if you're already comfortable with spreadsheets and want to track multiple invoices in one workbook. The trade-off is setup time: formulas can break if a row is inserted incorrectly, and the visual design takes real effort to get right.
Because Excel supports formulas, a well-built template can automatically multiply quantity by rate, sum the line items, and apply a tax percentage — something a Word template can't do natively. It's also useful if you want to keep a running log of invoices in tabs within the same workbook.
The most common issue is formula errors after editing: insert a row in the wrong place and a SUM range won't update to include it, silently producing a wrong total. Visual design is also limited — getting a clean, branded look with a logo and custom colors takes considerably more manual formatting work than in a dedicated invoice tool.
Cleanbill replicates exactly what a good Excel template is for — automatic, error-free totals — without needing you to manage formulas or worry about a broken cell reference. You enter quantities and rates in a form, the totals calculate instantly and correctly every time, and the output is a finished PDF rather than a spreadsheet your client has to open in the right software.
